For employee training, the best quiz maker is the one whose meter points at the thing that actually varies in your company. Headcount is fixed and mostly grows; the amount of training material you need to test on is what moves. Tools priced per participant or per host bill you for the first, tools priced per quiz bill you for the second. VidQuiz starts at $49 a month for 40 quizzes with no headcount in the plan, Kahoot 360 Pro starts at $19 a month per host capped at 50 participants, and Mindstamp starts at $83 a month billed yearly counting active videos and streaming minutes.

Those are the figures on each vendor's own pricing page, read on 21 September 2026. What follows is what you are really buying in each case, the point where a per seat bill overtakes a per quiz one, and the question that settles the shortlist faster than any feature comparison.

What is the best quiz maker for employee training?

Three different products answer to the name, and they only look alike in a demo. Live event tools run a game in a room and price by how many people can join. In video tools place questions inside the player timeline and price by video library and streaming volume. Generation tools write the questions from material you already recorded and hand them to whatever system keeps your records.

The question that sorts them is not about features. It is: where does the completion record have to end up? If a score has to sit against a named employee and survive an audit, you need questions in a format your LMS imports natively, which rules out anything reporting only inside its own player. If you need proof somebody watched a video to the end, in video questions that block progress are the right shape. If you want energy in an all hands and nobody has to keep the result, a game tool is fine and cheaper than either.

Be clear about what each one wins at, because the honest answer is that they are not substitutes. Mindstamp does something VidQuiz does not: it puts interactive questions inside the player so a viewer cannot skip past them. Kahoot does something neither of the others does: it makes a roomful of people enjoy a knowledge check. VidQuiz does the narrow job of writing the questions from your own recording and handing them over in a format something else can grade.

How much does employee training quiz software cost?

Entry pricing runs from $19 to $83 a month across the category, which makes the headline number almost useless on its own. The spread appears as soon as you scale, and it scales along a different axis for each tool.

VidQuiz Starter40 quizzes a month, video up to 60 minutes$49$288
VidQuiz Creator150 quizzes a month, video up to 120 minutes$99$588
VidQuiz Team600 quizzes a month, video up to 120 minutes$199$1,188
Kahoot 360 Pro Start1 host, up to 50 participants a session$19$228
Kahoot 360 Pro Plus1 host, up to 1,000 participants a session$49$588
Kahoot 360 Pro Ultra1 host, up to 5,000 participants, onboarding required$79$948

Mindstamp Core50 videos, 3 admin seats, 50,000 streaming minutes$250$2,990

Kahoot prices exclude VAT and are billed annually per presenter, and some tiers display against a crossed out original, so the number you see may be promotional. Mindstamp publishes an Enterprise tier at custom pricing with annual contracts starting at $15,000. The full Kahoot ladder, including the two tiers left out above, is broken down in our Kahoot 360 pricing and player limits write up.

One practical warning about researching this category. Prices here move, and the roundups that rank for these queries are frequently a year or more behind the vendor pages they summarize. Before you build a budget on a number from a comparison article, including this one, open the vendor's own pricing page and check it. Every figure above carries the date it was read for exactly that reason.

Do you have to pay per employee?

With most of this category, in effect yes, though it is rarely presented that way. Per host pricing multiplies when a second and third trainer want to run their own sessions. Participant ceilings step up the moment an all hands outgrows the tier you bought. Per user pricing is the honest version of the same thing. All three mean the bill rises because the company hired, not because your training program got better.

Per quiz pricing inverts that. On the VidQuiz Team plan you generate up to 600 quizzes a month and every employee in the company can sit all of them, because headcount does not appear in the plan. A quiz taken by four hundred people costs the same as one taken by four. At $1,188 a year that works out around seventeen cents per quiz generated, which is our arithmetic on the annual price rather than a vendor figure, shown so it can be compared with a per seat number.

The comparison to run is not list price against list price. Take last year's actual training calendar, count the distinct assessments you needed, then count the people who sat them, and price both models against those two numbers. Companies with many employees and few assessments are overpaying badly on per seat tools. Companies with a small team and a large, constantly refreshed content library are the opposite case, and should probably ignore everything in this article about headcount.

Can employees take the quiz without an account?

With a shared link, yes. A quiz published from VidQuiz opens in a browser and anybody holding the link can take it without signing up, which matters when the audience is contractors, franchisees, seasonal staff or a field team that will not create another login. An account is needed to build and edit quizzes, not to sit them. Kahoot works the same way for participants: people joining with a game PIN do not consume a license.

The catch is that a link with no account also means no identity. If you only need a knowledge check, that is a feature. If the score has to be attributed to a named person, a link is the wrong mechanism and you want the quiz inside your LMS, where the gradebook already knows who everyone is.

How do you record training completion for an audit?

Through your LMS, not through the quiz tool. This is the point where most evaluations go wrong: a tool is chosen on how nice the quiz looks, then somebody asks in month four where the completion evidence lives, and the answer turns out to be a dashboard inside a player that nobody outside the training team can query.

The durable pattern is to generate the questions wherever you like and import them into your system of record as a native quiz object. VidQuiz exports QTI 1.2, Moodle GIFT, a Blackboard tab delimited file, a Google Forms ready CSV, a plain CSV and a PDF. QTI 1.2 is the format the major academic and corporate platforms read for question import, and our guide to getting generated questions into an LMS covers which format each one actually accepts.

Worth knowing if your training sits inside a compliance program rather than a learning one: frameworks like SOC 2 and ISO 27001 expect documented security awareness training with evidence that staff completed it, so the quiz record is doing double duty as control evidence. Keeping that mapping straight, which control each piece of evidence satisfies and when it was last refreshed, is its own discipline, and there is software built to map controls to the frameworks they answer to rather than tracking it in a spreadsheet the week before the audit.

What do you need to give it, and what does it give back?

VidQuiz reads a public or unlisted YouTube link on its own, which covers most companies that keep training material on YouTube. For anything else, a Vimeo link, an uploaded MP4 or MOV, a Zoom or Teams recording, a webinar capture or an audio file, you paste the transcript alongside it. VidQuiz has no speech to text of its own, and saying otherwise would waste your first evaluation. In practice this is a smaller obstacle at work than it sounds, because Zoom, Teams, Google Meet and most webinar platforms already produce a downloadable transcript.

What comes back is a set of multiple choice questions with the correct answer marked, a short written explanation, and a timestamp pointing at the moment in the recording each question came from. The timestamp is the part that earns its keep in a corporate setting: an employee who gets a question wrong can be sent to the relevant ninety seconds rather than told to rewatch a fifty minute briefing.

Treat the output as a first draft. Read it once before it counts for a record, cut anything testing a throwaway aside, and sharpen any question with two defensible answers. On a twenty question set that is a few minutes against the afternoon the same quiz takes to write from nothing.

Picking one

Run your own worst case through a trial rather than a demo video. Take the longest, least polished recording you actually have to test people on, the sixty minute policy briefing with three speakers and a bad microphone, and put it through whichever tools are on your shortlist. Category leaders look identical on a clean ten minute product video and diverge sharply on real material.

If the job is turning recordings you already own into assessments your existing systems record, and you would rather not pay more every time the company hires, the quiz maker for business page has the full plan comparison and the generator itself. If your program is specifically onboarding and compliance training run by an L&D team, start instead from the corporate training quiz generator. And if you are weighing the per seat model directly, our breakdown of Wayground and Quizizz pricing lays out what that costs once a whole team is on it.
